Leads go cold while your reps are on other calls, and the reps who ring first chase people who will never buy. AI voice agents for first contact fix both when you set criteria, log, route and follow up.

Define what "interested" means before calling

Write down what "interested" means before the agent dials, because it can only sort leads by the rules you give it. Speed matters, but only if the right people reach your reps. A fast call to the wrong person still wastes a rep's time.

Ask four or five yes/no questions. Here is a checklist you can adapt:

  • Need: "Are you looking for this right now?"
  • Timing: "Do you plan to decide within the next 30 days?"
  • Authority or budget: "Do you make this decision yourself?"
  • Disqualifier: one question that ends the fit, such as "Is your business outside the area we serve?"
  • Permission: "May a specialist call you today?"

Yes/no answers beat open-ended scoring on a first call. A rep can check one in seconds. An open answer needs a judgement call, and two reviewers will score it differently.

Give each outcome a written rule.

Tier Rule
Interested Yes on need and timing, a decision maker is involved, no disqualifier, and the customer agreed to a rep call
Maybe later Yes on need, no on timing. Set a review date
Not a fit Disqualifier hit, or no need. Stop calling

Set limits the agent never crosses. It gives no price promises and no advice. Complaints, disputes and other sensitive topics go to a person. Put these rules in the script, then test them.

Question quality matters on the human side too. In our analysis of 6,209 sales conversations, top performers asked 37% more questions per call. That tells you the rep who takes the handover should build on the answers the agent captured and keep asking, not start from scratch.

Log every call outcome in your CRM

Log each call as one CRM record that a rep can read in ten seconds. Your sales ops manager should add these fields:

  • Outcome tier: interested, maybe later, or not a fit
  • The yes/no answers to each qualifying question
  • A two-line summary
  • A link to the transcript
  • Call date and time
  • Consent status
  • Retry count

Take the outcome from the transcript. The agent's own guess at how the call went is not enough. A reviewer can open the transcript and check the answers against what the customer said. That check makes the tier trustworthy.

Count only real conversations as reached. A call where only the AI spoke is not a reached contact. If voicemail counts as reached, real leads sit untouched.

Plug into your stack and do not replace it. Buyers with a working call centre ask first whether a new tool replaces their CRM or sits beside it. Treat the CRM as the home of the record. Whatever carries the fields over, the rep should never retype anything.

Insight7's voice campaigns, in beta, show calls in progress, let a reviewer read each transcript when the call ends, and pull yes/no answers and outcomes from it. Calls where only the AI spoke are not counted as reached. A campaign can be typed as lead follow-up or cold outreach and carries consent marking. Separately, Insight7's call analytics integrations write recordings, summaries and transcripts back to Salesforce and HubSpot, or export them through an API.

Route interested customers to the right rep

Write routing rules in your CRM, and let the logged outcome trigger them. The agent sorts the lead. Your own rules decide who gets it. The outcome tier you logged in the logging section is the input.

Build the rules from five fields:

  • Tier: only "interested" goes to a rep today. "Maybe later" goes to a nurture list with a review date.
  • Product: match the lead to the rep who sells that line.
  • Region and language: send a lead who answered in Spanish, Yoruba or Hindi to a rep who speaks it.
  • Capacity: use round robin, but skip reps who already hold a set number of open leads.
  • Owner: every handover names one rep, never a team inbox.

Set a response time for the interested tier and watch it. Your team picks the number. For example, a rep might have to call within 15 minutes in working hours. Alert the sales manager when the clock runs out, then reassign. Buyers ask whether anyone chases a handover nobody picked up.

Send sensitive cases to a person, every time. Disputes, complaints and objections the agent should not argue are not leads to qualify. Our advice is to have the agent stop, log the issue and flag it for a human.

Put callback requests in a queue. If a customer says "call me at 4pm", log the time as a field. A rep owns that slot, and the CRM reminds them.

Brief the rep and follow up fast

Give the rep a one-screen brief before the first ring. It should hold the summary, the customer's own words, the yes/no answers and the one open question. Reps should open with what the customer said: "You told our assistant you want to decide this month. Let's talk about that." Never re-ask the qualifying questions. A customer who repeats themselves hears a company that does not listen.

A fintech we spoke with chose to let its voice bot make first contact with new and existing customers, with reps following up on what the bot captured. The lesson is that the rep's brief should come from the bot's captured answers.

Review the tiers every week. Compare "interested" leads with real deals. If many never close, tighten the rule. If "maybe later" leads keep buying, loosen it.

Score the follow-up calls too. Rep behaviour decides what happens after handoff. Every call can be scored against a weighted scorecard your team owns, not a sample. That catches a rep who fumbles the follow-up. In our insurance research, top agents closed 65% of calls and bottom agents closed 0% under the same conditions, so the gap sits in behaviour.

Questions people also ask

Can an AI voice agent qualify leads?

Yes, when the questions are short and the rules are written down. The agent asks yes/no questions about need, timing and authority, then sorts the lead into a tier. A person still owns price talk, advice and sensitive topics.

What questions should an AI voice agent ask to qualify a lead?

Ask three to five yes/no questions: need, timing, decision authority, one disqualifier, and permission for a rep to call. Keep each to one idea. Put the disqualifier early, so you stop calling poor fits sooner.

How do you hand an interested customer from an AI voice agent to a sales rep?

Log the outcome first, then let a CRM rule assign one named rep with a deadline. The record carries the summary and transcript link. The handover is done when that rep accepts the lead.

Do AI voice agents have to say they are AI on a sales call?

In some regions, yes. EU AI Act Article 50 has applied since 2 Aug 2026 and covers automated phone systems. In the US, AI-voice calls need consent under the TCPA, and the proposed AI-disclosure rule was not final as of mid-2026. Disclose everywhere, and check local rules with counsel.

How fast should a rep follow up after an AI voice agent call?

Within minutes for the interested tier, and the same day at the latest. Start the clock when the call ends, not when the record reaches the CRM. Match what the agent promised, such as "a specialist will call today."

Does an AI voice agent replace SDRs or sales reps?

No. The agent handles first contact and sorting. Reps keep price, objections and the close. Gartner found 87% of 3,566 customers say a company using GenAI for service must offer a way to reach a human. Keep that route open.

What should an AI voice agent log in the CRM after a call?

Log the seven core fields from the logging section. Add the reason behind the tier, the call end time, and a do-not-contact flag, which stops "not a fit" leads being redialed.

Check this before you start

Confirm that a logged "interested" outcome reaches one named rep in your CRM within your response time.
